Hybrd Foundry Inc · Last updated 19 August 2026

This policy explains what personal information Hybrd Foundry Inc ("Hybrd Foundry", "we", "I") collects, why, who it goes to, and what you can do about it. It's written to be read rather than survived.

Who we are. Hybrd Foundry Inc, a coaching business based in Lake Bluff, Illinois, USA. For anything in this policy, write to adrian@hybrdfoundry.com — that address reaches a person, not a queue.

1What we collect

When you fill in a form

Name, email address, what you're training for, where and when you're racing, where you're based, and whatever you write in the free-text box. All of it is given voluntarily and none of it is required to browse the site.

When you take the Readiness Scorecard

Your name, email address, target race date, and your answers to fourteen questions about your training. From those we calculate a score and a weakest link, and we keep both alongside your answers.

When you buy something

Your name, email address, billing details and purchase history. We never see or store your full card number — payments are processed by Squarespace/Stripe or by Everfit, and the card details go to them, not to us.

When you're coached

This is the sensitive category, and it's the one worth reading carefully. Depending on the service, we hold: your training history, session logs, weights, times and paces, weekly check-in answers, video you upload for technique review, and any information you choose to tell us about injuries, illness, medication, pregnancy, sleep, stress or nutrition.

You decide how much of that to share. Health information helps us program safely, and withholding something material is a risk you carry — but no specific disclosure is contractually required.

Automatically

Standard website and email data: IP address, browser and device type, pages visited, and whether you opened an email or clicked a link. Our site uses cookies set by Squarespace — essential ones to make the site work, and analytics ones to tell us which pages get read. You can refuse non-essential cookies through the banner or your browser.

2Why we use it

What we doWhy we're allowed to
Answer your enquiry, run a callYour request; our legitimate interest in responding
Deliver coaching you've paid forPerformance of our contract with you
Handle health and injury informationYour explicit consent, which you give by telling us and can withdraw at any time
Take payment, keep tax recordsContract, and our legal obligations
Send the Scorecard results and follow-up emailsYour consent, given when you submit the Scorecard
Improve the site and the programmingOur legitimate interest, balanced against your privacy

We do not sell your personal information. We do not share it with advertisers. We have never done either and we're not planning to.

3Who else touches it

We use a small number of service providers, each of which processes data on our instructions:

ProviderWhat it handles
SquarespaceThe website, forms, and some checkouts
StripeCard processing
EverfitThe training app — programming, logs, check-ins, messaging
Google WorkspaceEmail, and the spreadsheet holding Scorecard responses
Instagram / MetaOnly if you message us there

Each holds its own privacy policy, and we've chosen providers that publish one. We don't disclose your information to anyone else except where the law requires it, or where it's necessary to establish or defend a legal claim.

4How long we keep it

Enquiries that don't become clients24 months, then deleted
Scorecard responses24 months, or until you ask us to delete them
Coaching and training recordsFor the duration of coaching, then 3 years
Financial and tax records7 years, because we're required to

If you ask us to delete your data we'll do it, except for anything we're legally required to keep — and we'll tell you what that is rather than being vague about it.

5Your rights

Wherever you live, you can email adrian@hybrdfoundry.com and ask us to:

  • tell you what we hold about you, and give you a copy
  • correct anything that's wrong
  • delete it
  • stop sending you email — or use the unsubscribe link, which works
  • withdraw consent for health information, which we'll action even though it usually ends the coaching relationship in practice

We'll respond within 30 days. We won't charge you, and we won't treat you differently for asking.

If you're in the UK or the EU

You additionally have the right to restrict or object to processing, the right to data portability, and the right to complain to your supervisory authority — the ICO in the UK, or your national data protection authority in the EU.

Where your data goes. We are a US business and our providers are largely US-based, so your information will be transferred to and stored in the United States. Where that transfer needs a legal mechanism, we rely on the European Commission's Standard Contractual Clauses, or the UK equivalent, as incorporated into our providers' terms.

If you're in California

You have the right to know what we collect, to delete it, to correct it, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined under the CCPA.

6Security, honestly stated

We use providers that encrypt data in transit and at rest, we use multi-factor authentication on the accounts that hold your information, and access is limited to one person. That is a genuine security posture for a business this size, and it is not a guarantee — no system is perfectly secure, and anyone who tells you otherwise is selling something.

If a breach affects your information, we'll tell you and the relevant regulator within the timeframes the law sets.

7Children

Our services are for adults. We do not knowingly collect information from anyone under 18, and we don't accept clients under 18. If you believe a minor has given us information, email us and we'll delete it.

8Changes

If we change this policy we'll update the date at the top. If a change is material, we'll email anyone actively coached rather than relying on you to notice.
